Payroll Specialist II

Job Summary:

The Payroll Specialist II position is responsible for overseeing and managing the payroll processing activities for employees within the organization. This role involves ensuring accurate and timely payroll processing, compliance with federal and state regulations, and providing guidance to junior payroll staff.

Responsibilities:

  • Coordinate and manage the bi-weekly or monthly payroll processing for employees using payroll software/system.
  • Review and audit payroll data for accuracy, including wages, deductions, and withholdings, ensuring compliance with FLSA regulations.
  • Calculate and process complex payroll transactions, such as overtime, bonuses, and commissions, while adhering to company policies and legal requirements.
  • Stay updated on changes in FLSA regulations and other relevant federal, state, and local labor laws affecting payroll processing.
  • Provide guidance and support to junior payroll staff, including training, mentoring, and reviewing their work for accuracy and compliance.
  • Collaborate with HR, Finance, and other departments to ensure accurate employee data and resolve payroll-related issues or discrepancies.
  • Prepare and analyze payroll reports and metrics to identify trends, discrepancies, and areas for improvement.
  • Assist in the implementation and maintenance of payroll-related policies, procedures, and controls to ensure compliance and efficiency.
  • Respond to payroll-related inquiries from employees and management, providing accurate and timely information and resolution.
  • Participate in payroll-related projects and initiatives, such as system upgrades, process improvements, and compliance audits.
  • Maintain confidentiality of payroll information and adhere to data protection policies and procedures.

Qualifications:

 

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • 3-5 years of experience in payroll processing, with at least 1-2 years in a supervisory or lead role.
  • In-depth knowledge of FLSA regulations, payroll tax laws, and labor laws.
  • Proficiency in payroll software/systems (e.g., Ceridian, Paychex, Workday) and advanced Excel skills.
  • Strong analytical and problem-solving skills, with attention to detail and accuracy.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • Ability to work independently and collaboratively in a fast-paced environment, managing multiple priorities and deadlines.
  • Certification in Payroll (e.g., Certified Payroll Professional - CPP) is highly desirable.
  • Experience with payroll process improvement initiatives and project management is a plus.
