Job Scope

The Commercial Assistant and Communication Specialist will be responsible for providing operational support to the Country Manager and the commercial organization, with a particular focus on Communication activities. The role will oversee the proper planning and execution of Governance, organize customer visits to company sites, and manage operational coordination for Regional Congresses, liaising with Organizing Secretariats and providers. Additionally, the position will support the organization of national-level events.

 

Key Duties and Responsibilities

 

 

  • Operational support to the Country Manager: managing correspondence, calendar and appointments with clients and collaborators, booking travel arrangements and handling expense reports. Assistance in creating PowerPoint presentations.
  • Support to the Italian Commercial Team: planning Governance and organizing meetings, booking arrangements for meetings and National Congresses for the team, and approving expense reports. Taking meeting minutes, monitoring deadlines, and following up with colleagues and partners. Acting as a cross-functional point of reference for managing communications and requests, supporting collaboration between company functions.
  • Organization of client visits to company sites, ensuring proper execution of Compliance procedures and liaising with the necessary internal and external stakeholders to guarantee that the visit meets company image standards.
  • Management and updating of databases and reporting through Excel.
  • Support in managing promotional activities and communication campaigns.
  • Support in organizing local events with and without ECM components.
  • Application of Medtech rules; screening requests, including verification of events on the AGENAS and CdM CVS websites.
  • Detailed reporting of all interactions with stakeholders (Medtech, CdM; since 2020, reporting of contacts with public and private stakeholders…).
  • Management of specific client-related activities (gadgets, invitations to special meetings…).
  • Support in managing promotional materials and various items for marketing events.

 

 

Education, Experience, and Qualifications 

 

Education / Specialization:

  • A bachelor's degree, especially in disciplines such as economics, business management, communication or foreign languages is a preferred option.

 

Experience:

  • Previous experience in similar roles (preferred)
  • Strong planning and prioritization skills, with the ability to coordinate activities involving multiple departments while meeting deadlines. A proactive, solution-oriented approach, ensuring accuracy and attention to detail in execution.
  • Outstanding interpersonal skills and customer-oriented mindset.

 

Technical Competencies:

  •  Good knowledge of Microsoft Office 365 suite: managing emails in Outlook, organizing meetings via Teams, basic knowledge of Excel and PowerPoint for reporting and presentations.

 

Soft skills:

  • Manage and schedule tasks, appointments, and deadlines.
  • Communicate clearly and professionally, both verbally and in writing.
  • Prioritize tasks and manage time efficiently.
  • Discretion and confidentiality: ability to handle sensitive information with discretion.
  • Attention to detail: Precision and accuracy in completing tasks.
  • Outstanding interpersonal skills and customer-oriented mindset.

 

Language:

  • English is strictly necessary

 

Travel Availability:

  • Upon request, generally in Italy for business meetings and marketing events
