Job Objective

The objective of the Customer Care & Logistics Specialist is to ensure efficient and reliable customer service and logistics operations throughout the entire order-to-delivery process.

The role is responsible for coordinating customer orders, deliveries, inventory, supplier orders, and import activities while ensuring accurate documentation and smooth collaboration with customers, suppliers, warehouses, customs brokers, and internal departments.
The position contributes to maintaining product availability, timely deliveries, operational efficiency, and a high level of customer satisfaction.

 

Tasks & responsibilities

Customer care

  • Providing service to customers regarding order processing, various order-related enquiries and product delivery.
  • Entering customer's orders received via email into the company’s ERP system.
  • Processing inventory requests from internal company departments for operational needs.
  • Processing inventory requests from internal company departments for operational needs.
  • Forwarding orders to the WMS system for picking and packing by the warehouse manager.
  • Coordinating routine and urgent deliveries and shipments to customers with both the customers and the warehouse manager.
  • Handling customer complaints regarding delivered products (shortages, expiration dates, discrepancies, etc.) and addressing them accordingly.
  • Issuing invoices to customers based on the delivery notes generated.
  • Distributing the issued invoices to customers in coordination with the company’s bookkeeper.

Logistics specialist

  • Preparing purchase orders for the company’s suppliers based on inventory reports and/or special requests received from internal company departments.
  • Sending orders to the company’s suppliers, tracking their receipt by the suppliers, and coordinating the shipping date and carrier
  • Tracking shipments in transit and their delivery, as well as providing all necessary documentation to customs brokers to expedite the release of products.
  • Coordinate with customs brokers regarding the delivery of products to the company’s warehouses.
  • Transferring incoming supplier order data to the WMS system so that the warehouse manager can process them for receipt into the company’s warehouses.
  • Updating the Citrix system with the latest consumption forecast once a month.
  • Preparing reports and providing responses upon request regarding customer, supplier, and item orders.
  • Monitoring and implementing notifications regarding special operational matters related to inventory items.

Education

  • High school diploma or higher education, preferably a university degree

Professional experience

  • Several years of experience working with customers in order processing or as a logistics coordinator
  • Knowledge of freight forwarders and customs brokers a plus

Knowledge and skills

Skills:

  • Excellent organizational and time management skills
  • Practical communication skills, both written and verbal
  • Ability to work under pressure in a dynamic environment
  • Problem-solving and decision-making abilities
  • knowledge of ERP systems (SAP Business one / Salesforce) favorable
  • Proficiency in MS Office products
